Privacy policy

The short version
Your farm’s records are stored on Rowbook’s own server in Canada. Only people you add to your farm can see them. We can’t read the contents of your records unless you turn on support access. We don’t show ads, we don’t sell your information, and this website doesn’t track you.
Who we are
Rowbook is farm record-keeping software made in British Columbia, Canada. This policy covers the Rowbook website (rowbook.ca) and the Rowbook app (app.rowbook.ca). “We” and “us” means Rowbook.
This website
The website doesn’t use cookies, analytics or advertising tags. Like any website, the service that delivers it (Cloudflare) briefly handles your IP address and browser details to send you the page and protect against attacks.
If you apply for the pilot, we collect what you type into the form: your name, email, and optionally your phone number, where you farm, what you grow, farm size, CanadaGAP status, how you heard about us and your message. We also record the IP address the form was sent from, to stop spam. We use this only to review your application and contact you about the pilot, and we keep it until you ask us to delete it.
The Rowbook app
When you use the app, we store:
- Your account: your name, email address and password. Passwords are stored in scrambled form (hashed), so no one can read them, including us.
- Your farm’s records: everything you and your crew enter, such as blocks, spray records, food safety logs, harvest, tasks, hours, stock, sales and books.
- Basic activity: when you signed up and last signed in, and when records were last changed.
- Feedback you send: your message, the screen you were on and the type of device, so we can understand the problem.
Where it’s stored
Your account and farm records are stored on a server run by Rowbook in Canada. Backups are made nightly and kept on separate storage, also in Canada. Information travels between your device and our server over an encrypted connection.
The app also keeps a copy of your farm’s records on your device so you can work without signal. You can remove that copy from Account when you sign out on a shared device.
Who can see it
- People on your farm. Owners see all of the farm’s records. Crew see tasks, blocks and food safety records, but not sales, wages or the books.
- Rowbook. To run the service, we can see your name, email, farm name, plan, when you last signed in and how many records of each kind your farm has. We can’t see what’s in your records unless the farm owner turns on support access in Account. Support access switches itself off after 7 days, and each time we open your records it’s added to a log the owner can see.
- Service providers. We use a small number of services to run Rowbook: Cloudflare delivers the website and the secure connection to our server, and Resend sends Rowbook’s emails (such as sign-in links and welcome emails), so it receives your email address and the message. These companies may process this limited information outside Canada and are only allowed to use it to provide their service to us.
We don’t sell, rent or share your information for advertising. We would only disclose it if the law requires us to.
Emails
We send emails you need to use Rowbook, such as confirming your account, resetting your password and a welcome email with tips for getting started. If you applied for the pilot, we’ll email you about your application. We won’t add you to a marketing list without asking.
Your choices
- Download your records at any time from Account → Download records in the app.
- See or correct the personal information we hold about you.
- Delete your account, your farm’s records or your pilot application.
Canadian privacy law, including PIPEDA and British Columbia’s Personal Information Protection Act, gives you these rights. To use them, email [email protected], reply to any email from Rowbook, or use Send feedback in the app, and we’ll respond within 30 days.
Changes to this policy
If we change how we handle your information, we’ll update this page and the date at the top. For important changes, we’ll tell farm owners by email before they take effect.
